Advancement of information technologies is giving lots of benefits for all institutions and business establishments. With the use of advance technology, transactions, processing and operations became faster, accurate and effective. As time goes by, computers became very useful in minimizing the amount of time needed to accomplish a task. In this generation, these machines can now be considered as necessities. In the field of education, implementations of computerized based systems such as automated enrolment system and information kiosks are mostly applied in the different institutions here in the Philippines. But most of these institution are using manual system in terms of administering entrance examination, which is very time consuming, unorganized and sometimes inaccurate when it comes to checking of papers. Some schools already implemented the automated entrance examination. An entrance examination is an examination that many educational institutions use to select students for admission. These exams may be administered at any level of education, from primary to higher education, although they are more common at higher levels. Automated Entrance Examination System is a system that will provide question through computer for those who will take the test. This system is better than the paper-base system because it will lessen the time that of students because after they take the exam the result will be posted automatically with the remarks as they passed or failed the given test. In order to have a high performance in conducting the college entrance examination, the paper-base system should be replaced by automated one. 2 The researchers came out with the idea of developing a system about the automated examination to minimize the work of the guidance office and to make it easier for administering examination. Through the use of Automated Entrance Examination System, it will provide faster transaction and results of the test is generated in less time. The system handles all the operations, and generates reports needed by the administering office. Theoretical Framework Entrance Examination management is not just an organizational concept: it is both a process and a series of activities that involve the entire campus (Hossler & Bean, 1990)1. Entrance Examination management as forecasting trends that will affect higher education and utilizing research to plan for the future. (Dennis, 1998)2 Hossler and Bean conclude that there are two goals of entrance examination management. First, to exert more control over the characteristics of the student body and two control the size of the student body given these two perspectives, one would say that enrollment management is concerned with the attraction and retention of students. Entrance Examination management extends to the educational outcomes of attendance. Enrollment management as efforts to influence the characteristics and the size of enrolled student bodies by directing the activities of the offices of admissions, financial aid, new-student orientation, career planning, retention, and a 3 number of other student affairs areas. In traditional way of examination, manual entrance examination system is commonly used as a way of enrolling students to and is continuing to be used nowadays. By the help of different developers and programmers, they have developed different system about the registration and entrance examination process. Conceptual Framework The Input Process Output (IPO) is useful for planning, processing and troubleshooting for development of a system. Using IPO model provide visual presentation that help explaining complex process. The IPO are methods used to describe the system by its function. It is made up of three important components: Input – The data needed by information system such as the Student's Info, Logs and System Users. These also include the software use in development of the information system. In creating the Guide Users Interface (GUI), the Visual Basic Net programming language is needed. MS Access is the database to be used for the storage of the system data. The hardware requirements are desktop computers and printer for printing the result. Process – These involve the encoding & validating the data, report generation and design the system. 4 Output – After the processing takes place, these are the following output it will provide: It will generate a hard & soft copy of the Login Report, Examination result and a working Information System. The following are the main problems of the study. 1. What are the features of the network-based automated entrance examination system in terms of the following software criteria used in System Testing: (a) Accuracy, (b) Efficiency, (c) Reliability (d) Security and (e) Design; 5 2.What is the perception of the respondents in the network-based automated entrance examination system with respect to the software criteria used in System Testing? And 3. Is there a significant difference between a paper-based examination and an automated examination system to instructor and students? Significance of the study With the sector-wide embrace of Information and Communication Technology (ICT) and Information Technology (IT) initiatives in the Philippines, this study encourages in part through government directives the use of electronic transactions in educational institutions. Moreover, the study may also help the school administrators to realize the importance of the need to integrate the use of computerized assessment to improve the quality of the admission system in the country. It will help them maximize the use of their resources to cope with the pace of technology by fast tracking the processing of documents through automation. It is noted in literatures that the increased use of computerized assessment in higher education is an international phenomenon. Hence, this study goes with the trend and is apparently conceived at the right time. Hopefully, the St. Dominic Savio College will improve the quality of its admission system by considering the recommendations of this study. The guidance counselor or the examination in-charge will also be benefited by facilitating their work thus, providing accurate, efficient, secured and reliable examination results. There will be an easier and faster generation of examination report. Hence, reports will be provided and or submitted on-time. To the students who will take the entrance examination, they will experience an atmosphere of being in touch with the use of technology by taking the examination 6 with the aid of computers. This results to immediate notification of their performance in the examination. This study may also provide system developers with inputs on how to design, develop and evaluate the effectiveness of such software application such that their admission system will be improved. Finally, this study likewise contributes to the body of literature on the effectiveness of the use of computerized assessment in higher education. The result of the study will be useful to the Institution because this system will provide an accurate and effective Automated Entrance Examination System which will benefit the following: Guidance Counsellor and Assistants - The system will automatically compute and rank the scores, thus the guidance counsellor will no longer check the hundred folds of examination papers which is prone to errors. They can now focus on their other responsibility. Incoming Freshmen/Transferee Students - Because entrance examination will be done through computers, students who will take the entrance examination will no longer bring any pencils and as soon as they finished the examination, results will be released. Future Researchers - This project will be very useful to the future researchers because this will serve as a basis of their study. This will also sharpen their knowledge and ability in developing a new system. 7 Scope and Limitations of the Study The scope and limitations of the system, the system is only for St. Dominic Savio College only. The system is not connected in other system of the school like registrar and the cashier. The system is only focusing on the entrance exam. The system runs only in a Local area network (LAN) connection, it is not connected on internet. This system will just improve the exam of the new students applying to the school. The system is a network-based system; it has a server side and a client side. The server part of the system will manage all of the questions, for security reasons the administrator of the system is one who can add, update and delete the test questions. The examination result will be automatically generated after students have done taking the exam. The client side is where the students will take the exam. The questions are randomly generated on each machine or computer, meaning the question displayed in one monitor will not be the same on another. Set of examination questions covers only multiple choices and not covers essay type questions and other set of questions administered by the guidance office. Definitions of Terms For a better understanding of this system, the following terms are operationally defined: Automated - It refers to something that controlled by a machine rather than a person. Application form - It refers to a form that you complete in order to apply for a place or course. 8 Client - It refers to an individual computer that accesses the information and programs stored on a server as part of a network environment. Database – It refers to a collection of pieces of information that is organized and used on a computer. Examination – It refers to a test to show a person’s progress, knowledge, or ability. Network-based system - It refers to a system that can be accessed by different users in multiple computers. Program – It refers to a set of instructions that tell a computer what to do. System – It refers to a group of related parts that move or work together. Server - It refers to a computer program or a machine that waits for requests from other machines or software (clients) and responds to them. CHAPTER II REVIEW OF RELATED LITERATURE This chapter includes the ideas, finished thesis, generalization or conclusions, methodologies and others. Those that were included in this chapter helps in familiarizing information that are relevant and similar to the present study. Foreign Literature Information systems are a tool to support information management. Information systems are increasingly being used in organizations with the objective providing competitive advantage. The information systems used in organizations with the objective of providing competitive advantage. The information systems used by organizations can be grouped in different types such as transaction processing system, management information system, decision support system, executive information system, expert systems and office information system. Information technology has heralded the advent of the information society. The information society may be ‘virtual society.’ The concepts of the electronic classroom, the electronic office and electronic library have been explored. Information systems pose a number of issues on society in general, including: changing employment patterns, archiving, and bibliographic control, security and data protection, intellectual property, marketplace issues and access. (Rowley, 2005)3 An enrollment system is basically included in one of the classifications of information systems that is stated by the author, thus it serves a tool to serve information management with regards with the student data, enrollment fees information and other with a connection to the 10 enrolment process. This is invented to avoid and linear and sequential development of study. The overall functionality of the system is broken down into feature sets. These feature sets often based upon uses cases from the analysis stage, containing group of individual features that are related, typically by a functional area (Stephen McHenry, 2010.)4 Windows 7 is an operating system produced by Microsoft for used on personal computers, including home and business desktops, laptops, netbook, tablet PC’s, and media center PC’s. It was released to manufacturing on July 22, 2009, and became generally available for retail worldwide on October 22, 2009, less than three years after the release of its predecessor, Windows server 2008 R2, was released at the same time. Windows 7 is succeeded by windows 8. Adopting the theory of Stephen McHenry with is known as iterative implementation covers the breakdown of overall functionality of the system to a what he called a feature set and those feature sets represents different process involve in an enrolment system. It helps locate what feature an enrolment system will have since this kind of systems does many activities and processes. Science and technology is the root of emerging innovations in this world. For many years now, a person in this field of expertise does not stop to reshape the landscape of today’s business world. Entrance examination system had made huge impact into the school area. It is a system that will help both the personnel-in-charge and the students who easily process the enrolment at a lesser time. District form traditional entrance examination, LAN entrance examination system process the large assortment of students records and provides efficient and consistent information services. “The internet is neither as extraordinary communication tool or revolutionary. It simply represents the current stage in the development of human capabilities through written language, which itself derived from the spoken form.” The stamen only shows the advancement in modern technology is at their highest peak. Nowadays, Web based applications are widely used due their ubiquity. (Holmes, 2006)5, Web based enrolment system is currently emerging on markets for the Internet. This system becomes in dealing with information management during enrolment transactions. Continuing innovation in technologies can lead to organizational changes that range from improvement of day to day operation and for easy access it provides for the end users. Local Literature Importance of computer application is increasing day by day. In the latest decades of the millennium winning organization are those which are willing to integrate business strategy and computer information technology in plying their respective trades. (Aquino, 2005)6, Schools use information systems in the way of implementing entrance examination systems. This results for them to attract more enrollees and earn an income. Enrollees are attracted because the use of the said system made the transactions faster and easier. Lack of enrollment system in schools can lead to chaos and troubles. Students will be confused on what they should do to be able to enroll that is why such systems is extremely useful in the way that it gives an ease on working on enrollment processes. Many countries nowadays, especially the developing nations are challenged by the rapid technological changes. This has radically changed the living and working styles of the entire society. This transformation has been driven partly by rapid technological innovation. While in the 20th century saw the rise of the industrial revolution with steamed powered machines intensifying and expanding human productive power, the 21st century was characterized by the birth of machined-power flight and the emergence of broadcasting and computer technologies the extend the 6 Aquino A. Any ways just to make work easier and faster like entrance examination is possible with the emergence of computer technologies. 13 Technology innovation had influenced man’s work from data processing, business transaction, research, planning, monitoring and even in medical operation on human anatomy are now entrusted to computer technology. Computer applications are popular due to ubiquity of its applications. The ability to update and maintain applications without disturbing and installing software on potentially thousands of client computers are the key reasons for its popularity. A significant advantage of building applications to support a standard browser feature is the ability to perform as specified, regardless of the operating system installed on a given client (Bacala and Reanno, 2009.)8 A network-based entrance examination system has featured that meets most of academic institutions systems needs and requirements. Task would be time consuming to 14 accomplish manually and more practical with the aid of computers field in cabinet. The automation is described simply as the substitution of machine control of human. (Flores, 2002)10 The developments of technology through the years have enabled us to do more with less effort. From the orientation of the light bulb to the industrial revolution and beyond, we have continuously tried to in a more efficient means of doing tasks. The reason for using computers varies from person to person. Some of the computers in business are to perform accuracy, to be as productivity, to decrease bottle necks or hassles to alter cash flows or to simplify elevate your status that computer as a device for processing information knew computer plays a significant role in their lives, but few are aware of just how pervasive role is. We can consider that the computer is necessary and it is a productive tool for individual. The database system makes the work faster for every institution. For the mere fact that instead of doing things manually, with the use of computer technology everything is done faster. (Mane, 2000) 12 The information system is a set of people, procedures and resources that collects, transforms and disseminates information in an organization to do’s ends rely on many types of information system. They might include simple manual information system and informal system and also computer based information system that uses hardware, software telecommunication 15 and other forms of information technology. Computers are an intelligence amplifier that can free human to use their time effectively. Because a computer is a fast and accurate electronic symbol or data manipulating system that design automatically accept and store input data process and procedure output results under the direction of the stored program or instruction. Database is instructed collection of data. The data may be about people, product events in short, any type of information is to manage the collection of data for reporting and making decision. In the early 1970’s database processing was considered an esoteric subject of interest only to the longest corporation with the largest computer. Information system-Database System Concept Today, database processing is becoming an information system standard. The goal of database system is to simplify and facilitate access to data. Information systems are more collection of hardware, software and people. They should be constructed to fit the organization’s strategy and structure so that it could easily be adapted to the information they needed. (Ahitud et.al, 2007)14 16 Local Studies Web-based enrollment system for Veritas Parochial School (VPS) in Manila was developed to help its students to in a more efficient way without the hassles of waiting long hours in filling out forms, which sometimes became redundant, or to stand in line and pay at the cashier. It is the Web-based enrolment system for VPS that this new style of enrolment may be achieved. This new type of system offers its students new option for enrolling at VPS. By logging to VPS website, one can register and enrol subjects for a school year. With these, all the students required to fill out certain forms 13 Sander R. The system stores its records in the school database for future references. Conformation of the transaction made by the students need to be verified, the payment of tuition fees must made in schools registrar. The students may also browse the web site of VPS and he can check his current account. 15 An automated entrance examination system help and efficient and reliable services to the students, enrolment personnel and administration, Moreover, this system improved the process of enrolment in terms of searching, retrieving and subject schedules. An automated entrance examination System was proposed to replace the manual entrance examination system in order to advance an organized flow of transaction and an ease of work concerned on how the manual enrolment performs throughout the institution’s operations. The numerous transactions that the manual system covers such as adding and updating students records, generating the advising and assessment slips, and like the considering the manual operating system to be inefficient for the 17 need of the institution. A registration and billing system is needed by the institution to address the stated situation. The study has been made to help Harvent School to gather fast and deliver accurate information (Calabozo & Fernandez, 2006). 17 Many problems and difficulties were identified in existing paper-based examination system. These major concerns are affecting the efficient enrolling system of the students. Securities of the students were found to be high risk. The current system may fail to protect some important documents. It has also untimely and inefficient report generation. An automated entrance examination system shall result to a significant increase in the number of enrolees. (Cayabyab, 2007)18 Similarities With the above mention studies, Enrollment system of Veritas Parochial School used web-based and databases to stores their records. Students will login, register and fill out certain forms. Liceo De Victoria Enrollment was developed and implements using relational databases. As for Quiver (2001), who also developed a program using, database which capable of 18 retrieving, access in manipulating of data in easy way. Bacala & Reanno (2009), in their study that tells the significant advantage of building web applications to support a standard browser feature is the ability to perform as specified. With Stephen McHenry, using WAMP (Windows Apache MySQL PHP is used to develop dynamic web sites with apache server, PHP5 script languages and database of MYSQL release 5. The studies support the use of applications using the web so that students can access the websites. The researchers used a database to increase the efficiency of registration procedures. They also used it for purposes such as storing records or information of students and access in manipulating data in an easy way. Differences The ideas and concept where the students will check their schedule, view subjects and teachers and set desired changes and pay online. (Ella, 2012) While Gaton, the system allows students to choose courses they want to take with the available class schedules. This allows students to make up their time schedules for different class courses without time schedule conflicts. After the allotted enrollment period, the system runs and assigns slots to students. Both concept and ideas does not cover the researchers system in terms of online payments or computation of student’s grades, class scheduling, and assessment of fees. CHAPTER III RESEARCH DESIGN AND METHODOLGY The topics are given a deeper explanation in this chapter and the researchers will present the study. It consist of the research method, research instrument, interview, questionnaire, construction, validation, survey, administration and retrieval, research locale, population and sampling techniques, data gathering procedure, project design, project development, testing and operating procedures. Research Method The descriptive method of research was used for this study. To define the descriptive type of research, Creswell stated that the descriptive method of research is to gather information about the present existing condition. The emphasis is on describing rather than on judging or interpreting. Descriptive research on the other hand is a type of research that is mainly concerned with describing the nature or condition and the degree in the detail of the present situation. This method is used to describe the nature of a situation, as it existed at the time of the study and to explore the cause of particular phenomenon. The aim of descriptive research is to obtain an accurate profile of the people, events or situations. Research Locale This study will be conducted in St. Dominic Savio College located in Mt. Heights Subd., Pangarap Caloocan City by the students and instructors as respondents. 20 Respondents The respondents whom the researchers will gather data are the students and faculty members who will use and take in charge in Network-based automated entrance examination system. Researchers will be giving a questionnaire in 55 students and 5 faculty members to answer the said questionnaire. Sample and Sampling Techniques The respondents of this study were composed of 5 instructors and 55 students of St. Dominic Savio College. The researchers will use a simple random sampling technique. It is the purest form of probability sampling. Each member of the population has an equal and known chance of being selected. As all members of the population have an equal chance of becoming a research participant, this is said to be the most efficient sampling procedure. This method includes the use of questionnaires and interviews. The tools used by the researcher are discussed. A questionnaire was used as the main data-gathering instrument for this study. It was divided into two main sections: the profile and the questionnaire proper. The profile contains socio- demographic characteristics of respondents such as name, age, gender and educational background. The questions were structured using the Likert format. In this survey type, five choices are provided for every question or statement. The choices represent the degree of agreement each respondent has on the given question. The Likert survey was the selected questionnaire type as this enabled the respondents to answer the survey easily. In addition, this research instrument allowed the research to carry out the quantitative approach effectively with the use of statistics for data interpretation. 22 Interview The researchers will conduct an interview to gather information in entrance examination system in St. Dominic Savio College. The researchers will send a letter to seek permission and an interview will be conducted with one of the Administrator of St. Dominic Savio College to know the background of the school, it’s existing and present problems. Questionnaire The questionnaire will be prepared by the researchers to determine the acceptance of the respondents. The respondents need to answer the questions based on the following criteria: design, performance, maintainability and security. Data Gathering Procedure The researchers will conduct a personal visit to the St. Dominic Savio College to ask permission for the system to be developed. In order to support the validity of the data, interview will be conducted to gather information. The researchers were also consulted in the internet, books and tutorials that are conducive in developing the system. The researchers have visited library to have detailed research and also read different materials that are relevant to the study being conducted. And later chose the best-printed materials from those gathered information that would best serve in helping out the researchers in developing the website. Statistical Treatment of Data Statistics is one way of getting the information’s organized. To have a general view of the whole scenario of the study, statistical tool is used.
