Search Add-ons for Zotero Click on ‘My Add-ons’ and locate Install EndNote X8 Zotero Click on Disable Restart Mozilla Firefox • Download EndNote software from the software catalogue http://www.deakin.edu.au/software/teaching.php?anchor=endnote How to open EndNote • Click on Start button • Select All Programs • Choose EndNote folder • Choose EndNote program EndNote Online Account To create a free EndNote Online account, see instructions at Accessing EndNote Online on the EndNote online guide: http://deakin.libguides.com/Endnote_Web To synchronise between desktop EndNote library and your EndNote Online click on icon NB. When synchronising the first time, you might need to click on “EndNote Program Updates…” under Help and follow the instructions before synchronising. Create a new EndNote library • When you open EndNote for the first time, you will be prompted with three options (Learn about EndNote, Create a New Library and Open an Existing Library). Click on Create a new library • Name your new library, select where you want to save it, and then click on Save • Your new library will open automatically NB. Your EndNote library is comprised of two files (the library file and a data folder). Your library file is the one you open to access your library. It ends with the file extension .enl. EndNote also creates a data folder with the same name as your library, but the file extension is .data. It is important that both files remain saved in the same place on your computer, have identical file names (expect for the file extension) and that you never delete the .data folder. Deakin University Library: EndNote X8 Introductory Guide (Windows) 2 Add references to your library (manually) • Click on the add references icon in the top toolbar: OR Go to References and select New Reference (or Ctrl+N) • Select the Reference Type from the dropdown menu (e.g., Journal Article, Book, Conference Paper) • Enter reference details in the relevant fields (e.g., Author, Title, Year, Volume, Issue etc.) • When done, click on the internal cross button (circled below) which will automatically prompt you to save your reference. OR Go to File and select Close Reference (or Ctrl+W) which will also prompt you to save. NB: If you click the outer cross button you will close down the whole library and your new reference may not be saved. • Click Yes Tips when editing records: When possible, it is recommended to import references from electronic databases to save time and avoid errors General Enter capitalisation and punctuation as it appears on the published version Author(s) Add the first author’s name (last name, first name) then additional authors on separate lines (leave author field blank where no author listed) e.g. O’Brien, Karen Black, David Corporate authors – place comma at end of corporate name. If you need to have a comma within a corporate name you will need to type in 2 commas e.g. Deakin University,, Faculty of Business and Law, Titles Enter journal names in full Only include quotations marks if within title, (e.g. Being “John Malkovich”) Use capitalisation as per bibliographic style Capitalisation Highlight text in a record and change case. This changes the capitalization of the text. Deakin University Library: EndNote X8 Introductory Guide (Windows) 3 Exporting your references Export references from the Deakin Website Library Search The Search tab searches the Library catalogue and a large number of the Library’s databases. It searches books, journal articles, videos, images and more. • Access the library search tab from the library homepage NB. If you’re not on the Deakin network you may need to click on Login for full access Export individual items from Library Search • Click the title of the item you wish to export • Cick Export (listed on the right hand side of the screen) • Select Direct Export in RIS Format…, and click Save Deakin University Library: EndNote X8 Introductory Guide (Windows) 4 Export multiple items from Library Search • Click the symbol next to each item in your search results list that you wish to export to EndNote. • Click Folder • Reselect items, then click Export (listed on the right hand side of the screen) • Select Direct Export in RIS Format…, and click Save Deakin University Library: EndNote X8 Introductory Guide (Windows) 5 Library Catalogue The Catalogue tab searches for books, journal titles, database titles, and some videos (streaming and DVD). • Access the library catalogue tab from the library homepage • Click the Export into EndNote icon next to the reference you want to import into EndNote Firefox and Internet Explorer users: Chrome users: o Click on the Open With drop down box, select Other o Click on the downloaded file (SearchResults….RIS) and select EndNote. Click on OK o In Import Filter window, click on Deakin_Encore o Click Choose o In Import Filter window choose Deakin_Encore o Click Choose N.B. If you are using EndNote X6 or earlier versions you need to add Deakin Encore import filter to your EndNote Filter folder. See the first question in EndNote software FAQs of the EndNote library guide for more information. Deakin University Library: EndNote X8 Introductory Guide (Windows) 6 Deakin Research Online (DRO) If you wish to import a single item from DRO, that item must appear on its own in the results of your search. • Go to Deakin Research Online (DRO) and click advanced search • Select Export for EndNote from Display results dropdown menu N.B. DRO will export articles only from the page displayed. To display more than 50 results on a single page, choose the desired number of records to be shown using the Set objects per page dropdown menu. Firefox users: Internet Explorer and Chrome users: o Click on the drop down menu next to Open With, o Save the file as a Text file select Other and select EndNote. Click OK. o In EndNote program select File > Import > File… o Choose the file you saved above o From the Import Option drop down menu select deakinu_DRO (if deakinu_DRO is not an option, select Other Filters then select deakinu_DRO from the list) o Click Import N.B. If you are using EndNote X6 or earlier versions you may need to add DRO import filter to your EndNote Filter folder. Deakin University Library: EndNote X8 Introductory Guide (Windows) 7 Export references from platforms and databases EbscoHost – Export individual records • Click the title of the item you wish to export. • Click Export (listed on the right hand side of the screen) • Select Direct Export in RIS Format…, and click Save EbscoHost – Export multiple records • Mark selected items and Add to folder by clicking on the icon: • Open Folder • Reselect items, then click on Export on the far right • Select Direct export to RIS Format…, then Save Deakin University Library: EndNote X8 Introductory Guide (Windows) 8 PubMed • Select item(s) to export by clicking inside the boxes next to each reference (1) • Click on the drop down menu next to Send to (2) • Select Citation manager (3) Click on Create File (4) N.B. If you wish to import a consecutive series of records in your results list rather than individual items, you can export a multiple references within a range by stating the start record number and the total number of records you want to be sent. For example, if you select number to send as 5 and start from citation as 3, then you will import records 3 through to 7. Scopus • Select items to export by ticking the box next to each reference, then click Export • Choose RIS Format for file type • Choose the amount of information about each reference you would like to export, e.g. Citation information only • Click Export Deakin University Library: EndNote X8 Introductory Guide (Windows) 9 Web of Science • Select the item(s) that you wish to export by ticking the box next to each record • Select Save to EndNote Desktop from the drop down menu • Select which fields you would like to be exported into EndNote (e.g. Author, Title, Source, Abstract) from the drop down menu • Click Send Google Scholar • First, change the settings to show export links to EndNote • Go to the Google Scholar home page and select Settings • Under the Bibliography Manager section, select Show links to import citations into, and choose EndNote • Save your preferences, then perform your search • Click Import into EndNote (under each search result) Deakin University Library: EndNote X8 Introductory Guide (Windows) 10 Google Books • Click selected book • Click About this book (left column) • Click EndNote underneath the Bibliographic information at the very bottom of page N.B. When importing references from any online source, your references will be automatically transferred into the Imported References group (they will also automatically appear in All References). Your references will remain in this group until you move those references into a group, import new references into your library, or exit EndNote. Importing references into EndNote using different browsers Once you have exported an EndNote reference from a database, you will need to find the file you have downloaded and then open the file within EndNote. The way you do this differs depending on the web browser you use: Mozilla Firefox Internet Explorer Safari Google Chrome Select Open with References will be References will be References will be EndNote X8 (OR transferred directly placed into your placed into your EndNote.EXE), then into whichever downloads. Open them with EndNote X8 If EndNote is not an EndNote X8 option, choose Other, then browse for EndNote.EXE Deakin University Library: EndNote X8 Introductory Guide (Windows) 11 Import and create records from PDFs • From the top toolbar, go to File > Import > File (or Folder if you wish to import all PDFs in a folder) • Next to Import File, click on Choose, search for your PDF and select it • Next to Import Option, select PDF from the dropdown menu, then click Import • A reference record in EndNote will be created for each of the PDFs you imported, with the PDF of that reference attached to the newly created reference record. N.B. If your PDF has a Digital Object Identifier (DOI), the reference record created in EndNote will be complete with the reference details included (i.e. author, year, title etc.). However, if the PDF does not have a DOI, a blank record will be created (the PDF will still be attached) and the name of the file will be used as the title. You will need to manually add the remaining reference details to the blank record. Rename PDFs automatically EndNote X8 can automatically rename PDFs if you choose to customise your PDF Import settings: • Go to Edit menu > Preferences • Select PDF Handling in the left list • Under PDF Auto Renaming Options, choose your prefered naming format or create your own custom format • Click OK Import PDFs automatically EndNote X8 can automatically import PDFs from a selected folder on your computer. You can set a folder to be monitored by EndNote for new PDFs. This folder will be scanned regularly and new PDFs found in it will be imported into your EndNote library. • Go to Edit > Preferences > PDF Handling • Under PDF Auto Import Folder tick the box next to Enable automatic importing • Choose the folder you want to be scanned regularly. Click Ok Deakin University Library: EndNote X8 Introductory Guide (Windows) 12 Managing your EndNote library Choose reference/bibliographic output style As you add references to your library, you can view, preview and select from hundreds of referencing styles (e.g. APA, Harvard etc.). There are two ways to change the referencing style in EndNote: by using the drop-down menu in the toolbar, or by using the Edit menu. Using the dropdown menu • You can select a reference style from the drop-down menu in the top toolbar in EndNote • If your prefered style is not listed there, choose Select Another Style This will open a comprehensive list of output styles • Select the style you want, and click Choose • The selected style will appear in the dropdown menu in the toolbar Using the Edit menu • Go to Edit > Output Styles > Open Style Manager This will open the same comprehensive list of output styles accessed using the dropdown menu. However, when accessing the list via the edit menu, you can select multiple referencing styles and your selected styles will now display in the drop down menu (as above). • Choose your prefered output style or styles and close the window. Your selected referencing styles will now appear in the drop down list. N.B. If your style is not listed here you can click on ‘Get More on the Web…’ where there is a selection of more than 5000 styles. TIP - To download Deakin styles, please go to http://deakin.libguides.com/c.php?g=558298&p=4328916#DeakinStyle - Vancouver style users need to add a Medical journal term list to the library for journal abbreviations. For instructions go to http://deakin.libguides.com/Journal_abbreviations Deakin University Library: EndNote X8 Introductory Guide (Windows) 13 Edit your reference You can view and edit a reference from the Reference/Preview pane on the bottom (or on the right-hand side, depending on your Layout preferences). • Select the reference that you wish to edit • In the Reference pane o Make changes to reference fields (e.g. correct spelling error in title/authors names etc.) o You can decide to Show Rating Field and/or Show Empty Fields in records by checking the corresponding box under the options icon • In the Preview pane o Preview the citation style o Note: You can change the citation style from the drop-down menu in the upper toolbar on the far left • In the PDF pane o Attach a PDF o Preview, email and make sticky notes on the attached PDF • When you move onto a new reference a dialog box will open prompting you to Save your changes NB. You can also double click on the reference to edit it within a new window. Deakin University Library: EndNote X8 Introductory Guide (Windows) 14 Remove duplicate references • To search for possible duplicate references, Go to References menu > Find Duplicates • Duplicates will appear in a dialog box and fields with different content will be highlighted in blue • Click on Keep this Record to choose which one to keep You can also edit the records, or click skip to keep both records3 Attach a file (e.g. PDF) to references Files (such as PDFs, word documents, excel spreadsheets, picture files and other formats) can be uploaded and attached to references in EndNote. You can attach more than one file to each reference. Method one Method two • Select reference in your library • Select the reference • Go to References menu, select File • Click on the paperclip icon Attachments, then Attach File • In the dialog box select the file that you wish to attach to • In the dialog box, select the file that you wish your reference, then click Open to attach to your reference, then click Open Deakin University Library: EndNote X8 Introductory Guide (Windows) 15 N.B. You can open PDFs in a separate window by clicking on the icon on the far left in the image below, and email references (including the attached PDFs) by clicking on the envelope icon: Searching your EndNote library Using the Quick Search box • Use the Quick Search box to search for words or terms within references • After making your search, results will appear in a temporary group named Search Results • You can use wildcards such as the asterisk (*) within search terms e.g. publi* to retrieve publication, publish, publishing, published, etc… Using the Advanced Search option • Click on Show Search Panel on the right of the Quick Search box to perform a more complex search • Type your search query and select your criteria, then click Search • After making your search, results will appear in a temporary group named Search Results • You can use wildcards such as the asterisk (*) within your search terms e.g. publi* to retrieve publication, publish, publishing, published, etc… Deakin University Library: EndNote X8 Introductory Guide (Windows) 16 Customising the display window • You are able to sort your references by the column headings • Click on any heading to sort by that field An or will appear denoting the order that the fields are sorted in Selecting Fields to Display • To change the fields shown in the columns in the center of your library (i.e. author, title etc.): o Right click anywhere in the header at the top of the columns o Select the field you want to display or deselect the fields you want to hide o Reorder/move columns around by dragging and dropping them into new positions Right click anywhere in this toolbar Control the layout of EndNote • You can change the layout displayed in EndNote using the Layout button at the bottom right corner of EndNote window Deakin University Library: EndNote X8 Introductory Guide (Windows) 17 Create groups Custom Group A Custom Group allows you to organise your references by creating a group and manually add references to the group. • Click on Groups menu and select Create Group • Name the new group box that opens (e.g. “Chapter 1”) • Select the reference(s) to be moved to new group, and ‘Drag and drop’ into the new group box OR right-click on a reference and select Add References To and select the group you wish to add a reference to OR Click on Groups menu and select Add References to > [Group name] Smart Group References are automatically added to a Smart Group based on a search of your library that EndNote conducts everytime you open your library or add new references to your library. EndNote searches the keywords you specify when you create the smart group • Click on Groups menu and select Create Smart Group • Name the Smart Group Name box that opens • Select search criteria/keywords using the available fields and click Create • The references in your library that match your key search terms will be automatically moved into your smart group Deakin University Library: EndNote X8 Introductory Guide (Windows) 18 Creating a group from existing groups • From the toolbar select Groups > Create From Groups … • A dialogue box will open prompting you to name your group • Determine which groups your new group will take its references from using Boolean operators (and/or/not) • Click Create Group sets Group sets allow you to create sub-groups to further organize your references. • Right click over My Groups and select Create Group Set • Name the New Group Set box that opens • You can now add custom groups, smart groups or combination groups to your new group set Deakin University Library: EndNote X8 Introductory Guide (Windows) 19 Create PDF folder as a group set Folders of PDFs can be organized into separate groups and group sets during PDF import (based on the folders’ names that contain the PDF files) • From toolbar, select File > Import > Folder • Choose the folder that contains subfolders of PDFs • Tick the boxes for Include files in subfolders and Create a Group Set for this import • Click Import • New Group set will be created, e.g. Thesis group set N.B. deleting groups or group sets does not delete your references from your library. You can also remove references from a group without deleting the reference from your library. Your shared groups in EndNote Online can now be seen in the EndNote desktop library in EndNote X8 as well as EndNote Web Combined group Custom group Smart group Group Set Deakin University Library: EndNote X8 Introductory Guide (Windows) 20 Create a bibliography from within EndNote Method one • Highlight the references in your library • Select Export from the File menu OR from the toolbar click on: • Name your file and select file type .rtf (Rich Text Format) from Export file name dialog box • Select bibliographic Output style then click Save • The file opens as an .rtf in Word and can be edited and saved as a Word document Method two • Highlight the references in your library • From the Edit menu click on Copy Formatted ( or ctrl +K) • Paste into Word Deakin University Library: EndNote X8 Introductory Guide (Windows) 21 EndNote in Word EndNote can automatically insert in text citations and populate a reference list in Word documents. References can be inserted from within EndNote or Word. Insert a reference or citation Within EndNote • In Word, place cursor where you want reference(s) to be inserted • Go to EndNote and highlight the reference(s) you wish to cite • Click Insert Citation from EndNote toolbar Within Word • In EndNote, highlight the reference(s) you want to insert • Go to Word, and place the cursor where you want the selected reference(s) to be inserted • From EndNote X8 tab, select Insert Citation > Insert Selected Citation N.B. Both methods will insert an in-text citation and automatically generate a bibliography/reference list at the end of your Word document. Moving between EndNote and Word To move from EndNote into Word, click Return to To move from Word into EndNote, click Go to Word Processor icon on EndNote toolbar: EndNote: Deakin University Library: EndNote X8 Introductory Guide (Windows) 22 Edit appearance of a citation in Word • Highlight the citation in Word, select Edit & Manage Citation(s) in EndNote X8 toolbar to open the edit citation window where you can make a number of changes • To change the way that your citation is displayed in text, e.g. to display as Author (Year) rather than (Author, Year), click on the drop down menu next to Formatting and choose one of the alternative display options listed. Add pages to a citation in Word • Often when directly quoting, you will need to add page numbers to your citation, e.g. Smith (2017, p.12). • Add page numbers in either the Suffix field or the Pages field (depending on your referencing style). Try the pages field first, as this field will automatically format the p. or pp. as required (APA and Deakin Harvard both support the pages field). If this doesn’t work, it means your referencing style does not support the pages field, and you must manually enter the page number, and all associated formatting, into the Suffix field (for an example, see image below) Deakin University Library: EndNote X8 Introductory Guide (Windows) 23 Remove a citation You cannot remove an EndNote citation in Word by deleting it, because the underlying coding will remain in the document. Instead, to remove a citation: • Highlight the citation in Word and select Edit & Manage Citation(s) in EndNote X8 tab • Click on the drop-down menu next to Edit Reference, select Remove Citation, and then click OK Change a referencing/bibliographic style • In Word, click on the EndNote X8 tab, and select a new style from the Style box drop-down menu • If your desired style is not displayed choose Select Another Style and choose from displayed styles • All references will be automatically changed to the updated style Edit references from within your Word document • Highlight citation and select Edit Library Reference(s) • Edit the selected reference and close it to save changes in EndNote library • Changes will be reflected in Word document upon clicking Update Citations and Bibliography Deakin University Library: EndNote X8 Introductory Guide (Windows) 24 Configure bibliography • Click on the small arrow in the bottom right-hand corner of the Bibliography box in EndNote X8 tab • The EndNote X8 Configure Bibliography dialog box will appear and will allows you to o Format your bibliography o Choose a specific Layout Instant Formatting Instant formatting automatically updates your reference list as new citations are added to a document. This feature may cause Word to perform slowly when working with large documents and/or EndNote Libraries. • To turn on or off the Instant Formatting feature click on the Instant Formatting option in EndNote X7 tab • When Instant Formatting is turned off, you may need to press Update Citations and Bibliography to see changes reflected in your Word document Create a plain text copy of your Word document To send copies of your Word document to others (supervisor, colleagues, etc.) without the underlying EndNote reference coding you need to convert your document to plain text. • Make a second copy of your original document (use another name in order to more easily differentiate the documents) • Select Convert Citations and Bibliography in the EndNote X8 tab • Select Convert to Plain Text • Click OK Deakin University Library: EndNote X8 Introductory Guide (Windows) 25 Backing up your EndNote library EndNote saves all the information and references' attachments in a folder with the same name as your library with the file extension .Data (e.g. My EndNote Library.Data). When you transport a copy of your EndNote library between devices, it is important to copy the .Data folder as well. There are two ways to back up your library: Save a copy • Select File menu> Save a Copy • In the Save dialog box, the filename should have the word Copy at the end (e.g. My EndNote Library Copy.enl). You can either use this, or rename your copy (adding a date may be useful if you have more than one version) Save a compressed copy You can alternatively create a compressed version (smaller file size) of your library that also contains your Data folder. You can then email this single compressed library file (like you would any other file). You may find your compressed library is still too large to email. In such a situation, you may want to use a free large file transfer website like www.wetransfer.com to send your library to another person or yourself. • Go to File > Compressed Library (.enlx) • If you want to save a backup of your entire library, leave the default options and click Next • Name the file (the extension is .enlx), then click Save N.B. If you opted to Create and Email, but are not working on your own computer, you will need to open your email and attach the file you want to send. If you are on your own computer, simply clicking Save will automatically open your email with the file already attached in most cases. Deakin University Library: EndNote X8 Introductory Guide (Windows) 26 Synchronizing EndNote desktop with EndNote online EndNote offers the ability to synchronising your EndNote desktop library with your EndNote online account. This allows you to access the references in your library from anywhere you work. We do not recommend using EndNote online as a backup of your library because the library will be synced with your desktop library, and should anything go wrong, the problem may be mirrored in the synced library. • To sync with EndNote online library click on sync icon or select Sync from Tools menu. • Enter your EndNote web account credentials to login or Sign Up if you don't already have an account. N.B. For information about creating an EndNote web account, its advantages and limitations see EndNote online guide. Deakin University Library: EndNote X8 Introductory Guide (Windows) 27 Share EndNote desktop library Upgrade to EndNote X7.2 From version X7.2, EndNote provides the ability to share desktop libraries between yourself and up to 14 people. EndNote X8 provides unlimited sharing between up to 100 people, plus yourself. You will be able to access all of the references, PDFs, file attachments, and notes in this shared library from your EndNote desktop application. Everyone invited to share this library can add to, annotate and use the library at the same time. Before sharing Before sharing, your desktop library should be synced with your online EndNote account. 1. From Edit menu select Preferences 2. Click Sync 3. Enter your EndNote account credential (create a free account in http://www.myendnoteweb.com/ if you don't already have one, more information about EndNote online) 4. Click OK 5. Within EndNote program, click on sync icon or select Sync from Tools menu 6. You need to register your account if you're syncing for the first time Share 1. Within EndNote, click on share icon or go to File and select Share 2. Enter email addresses separated by commas 3. Click Invite Deakin University Library: EndNote X8 Introductory Guide (Windows) 28 Open a shared library 1. Accept the invitation you've received via email 2. You'll be directed to a webpage where you can sign in to your EndNote online account 3. A message will appear confirming the library has been shared and can be accessed in EndNote X8 4. Within EndNote, go to File and select Open Shared Library 5. Select the shared library then click Open 6. Changes made to references, attachments, PDF annotations, group sets and groups will be synced for all group members to see Remove sharing To revoke sharing for any individual group member: 1. Within EndNote, click on share icon or go to File and select Share 2. Click on options icon next to the member's name, then select Remove 3. Click Close Deakin University Library: EndNote X8 Introductory Guide (Windows) 29 EndNote in PowerPoint You can use EndNote X8 to add citations and reference lists to your Microsoft PowerPoint slides. However, you will need to insert the citation first and then the reference list record second. Unlike Word, EndNote does not automatically insert both the citation and reference list at the same time. N.B. In PowerPoint you must select the citation style before inserting citation(s) or reference(s). Unlike Word, you cannot change the citation style after you have inserted citation(s)/reference(s). Insert citation(s) Method one – search for the reference from within PowerPoint • In PowerPoint, place cursor where citation is to be inserted • Click Insert Citation from EndNote X8 tab • Search for the citation you want to insert • Select the reference from the search results • Click Insert Enter details of the reference you want to add, such as author name, part of the title etc. to search your EndNote library for the reference Deakin University Library: EndNote X8 Introductory Guide (Windows) 30 Method two – search for the reference within EndNote • In EndNote select the reference(s) you wish to cite • In PowerPoint, place cursor where citation is to be inserted • Click on Insert selected Citation(s) from EndNote X8 tab Insert Reference List/Bibliography There are two ways to add a reference list in PowerPoint: Method one – search for reference from within PowerPoint • In PowerPoint, place cursor where reference is to be inserted • Click Insert Reference from EndNote X8 tab • Search for the reference you want to insert • Select the reference from the search results • Click insert Method two – search for the reference within EndNote • In EndNote select the reference(s) you wish to insert • In PowerPoint, place cursor where reference(s) is to be inserted • Click on Insert selected Reference(s) from EndNote X7 tab • References(s) will appear in your PowerPoint slide
